Position Overview
The Building Manager plays a critical role in ensuring the smooth operation, security, and maintenance of the property. While concierge duties remain an integral part of the position, the primary focus is on managing building maintenance, overseeing trades and service providers, and ensuring compliance with strata regulations. The ideal candidate is proactive, detail-oriented, and committed to fostering a well-maintained and welcoming environment for residents.
Please note that the successful candidate will be employed by the Strata Corporation, Promontory, and not by Proline Management.
Key Responsibilities:
Building Management:
- Serve as the primary point of contact for building operations, liaising with trades, contractors, and service providers.
- Oversee and coordinate scheduled maintenance for building systems and common areas, including collecting quotes, scheduling work, and ensuring work quality meets standards.
- Supervise and maintain relationships with garbage, recycling, landscaping, and cleaning service providers.
- Ensure emergency and fire systems are properly maintained and that safety protocols are followed.
- Maintain an up-to-date maintenance calendar and ensure relevant updates are communicated to the council and residents.
- Conduct weekly building walkthroughs to identify maintenance issues, security concerns, and general property upkeep.
- Manage the petty cash fund and oversee accounts receivables relevant to building operations.
- Perform minor maintenance tasks when feasible, such as pool skimming and lighting maintenance.
- Maintain an accurate resident database, ensuring up-to-date contact details for communication and emergency purposes.
- Manage the secure distribution, use, and return of keys and FOBs for residents, trades, and visitors.
- Receive and securely store parcels on behalf of residents, ensuring proper ticketing and notifications.
- Schedule, coordinate, and oversee move-in and move-out logistics, ensuring elevator preparation and noting any damages.
- Maintain up-to-date indemnification forms for unit access requests related to inspections and maintenance.
- Ensure all exterior and interior doors are locked and secured before leaving at the end of each day and actively monitor building security systems.
- Execute strata council maintenance directives, keeping council members informed through detailed updates and tracking progress in the designated system.
- Attend strata council meetings as a resource and provide meeting follow-up as requested.
- Assist with by law monitoring by referring non-compliance issues to the strata council and property management.
- Draft and distribute notices to residents regarding policies, maintenance schedules, and important updates.
- Provide new residents with an orientation, including an overview of building policies, security, and amenities.
- Answer incoming phone calls, emails, and texts related to building operations in a timely and professional manner.
- Respond to resident inquiries professionally, escalating concerns to the strata council or property management as needed.
- Assist in drafting and maintaining strata administrative procedures and ensuring familiarity with by-laws.
- Manage and inspect the amenity room before and after bookings, handling deposits as necessary.
- Ensure the building lobby remains clean, organized, and welcoming to residents and guests
Qualifications & Skills:
- Experience in property management, facility maintenance, or a related field.
- Strong organizational and problem-solving skills.
- Proficiency with general office management applications including G-Suite, Google Docs, and Microsoft Excel.
- Ability to manage multiple tasks and respond to urgent matters effectively.
- Experience setting up project management processes to track needed items and communicate with stakeholders effectively
- Strong customer service skills and professional demeanor.
- Basic maintenance knowledge and the ability to perform minor repairs.
- Familiarity with strata regulations and building management best practices.
Position Details:
- Full-Time, Permanent live out position.
- Monday–Friday, 8:30 AM–4:30 PM, including a 30 minute meal break.
- Occasional overtime.
- $55,000–$60,000 per year, which is negotiable based on experience.
- 2 weeks paid vacation per annum.
- A monthly allowance designated for health and wellness benefits.
- Ideal start date is April 15th.
